     Start by setting up a normalized table structure. make the tables below and hook them together with the relationships tool on the ribbon under database tools-relationships. To create a relationship drag the primary key from one table to the corresponding and same named foreign key in the table that will be the many side of the relationship. In the pop up make sure to check the enforce referential integrity, cascade update, and cascade delete checkboxes.

     I've highlighted the two "Many to Many Relationships" in this normalization. HerdsPaddocks is a more generic name for the CattleMovements Table. There are other possible normalized table structures, but the subtle differences are beyond the scope of this answer. When you are ready, look up table normalization and Many to Many Relationships.

     Next, Close the Relationships tool, select a table from the sidebar and on the ribbon under Create hit create form. Do this for all the tables. Now we have a working database but you need to learn how to use it. So play!

     Below I gave some play suggestions, but just play with everything until you figure out how to use the forms to (add, search, edit) cows, herds, and paddocks. Also learn why you should delete the primary keys from all the forms and how to replace the foreign keys like CattleType in the Cattle Table with the user friendly CattleTypeDesscription from the CattleTypes Table.

     Start with the Herds table and enter some random herds. (pro tip: never add data to the table directly except when playing the error rate is too high). Then Open the herds form where you can browse and edit the herds. Play tips: In the Table Herds HerdID is both an autonumber and a primary key. It behaves differently from the other columns. Check it out. after that delete the HerdID textbox from the form and see what happens(a good thing). How do you add herds using the Herds Form? Moving on to playing with the Cattle form, first make sure to add a few CattleTypes to the CattleTypes table.      Once you are comfortable adding and editing data, play with the query editor. For instance, to get how many cows are currently in Paddock holds10cattle (my dummy data).

     Yes, that's the whole idea of a database, as opposed to an uncontrolled data storage location.

     They are not user-defined, they are Data Modeller or Database Administrator or Database Owner (all specific terms) defined. If you left it up to the users or the developers, they would read the rubbish available free or the internet, and implement a monster.

     The idea of a database, for over 30 years, is that the entire definition for it is inside the database. Over that period, there have been many Standards (from international standards bodies, not from single vendors, or sellers of software), that have incrementally identified various standards to elevate the integrity of databases. The SQL vendors have implemented them (admittedly, not the freeware database systems, but they do not provide ISO/IEC/ANSI SQL; technically they are in error in using the standard term "SQL" in those products).

     In standard SQL, we have the following, as Declarations (ie. not code outside the database, not triggers):

     • Referential Integrity. The parent row referred to by the child must exist before the child row can be inserted. That happens to be the Relation definition, so there is no doubling up.
     • Data Integrity. Various forms:
     • First ensure the correct Datatype is used. Consistently. That eliminates putting character values in integer columns; 10-digit values in 4-digit columns, etc.
     • RULES. These ensure that all rules for the column (such as your example) are observed.
     • CHECK Constraints. These allow column values to be checked against other columns, before insertion is allowed. They can be simple or complex.
     • (with triggers, you can implement any further constraints that the above Declarations do not supply).
     • Transactional Integrity. This ensures that the integrity between rows in different tables is maintained, and the data can be relied upon.

     I repeat, if it does not have these basics implemented (on every column), it is not a database, it is merely a storage location, for data that has no integrity.

     You can confirm this easily, by checking some Standard SQL manuals, or the SQL Standard itself (both available free on the internet).

     Any information contrary to the above, found on the internet, is not worth responding to.

     • Anyone with a keyboard and a connection can publish anything these days. Wikipedia is written by unqualified amateurs, and the "definitions" change every week, as slightly less unqualified amateurs edit them.
     • Most of them are writing about what they believe, without any actual experience, testing or verification of their beliefs.

     It is a waste of time to argue with Standards; they have a purpose; they were created by minds greater than ours; and they have long (30 years!) been accepted (demanded) by larger organisations and governments. Small organisations can save time by following these standards, instead of holding the belief that they are somehow "different". We are dealing with physical science and technology in this industry, not magical thinking.

     Business Rules in the Application Layer

     • Well, if you put the rules in the server, they are guaranteed by the server. I would trust that any day, over the faultless execution of any application layer, particularly one written by people who do not understand databases, or their purpose.
     • Databases are supposed to completely independent of the apps (note the plural) that use them. It would be silly to place those rules in five apps, instead of in one place, in the database. What happens when the rules change, can anyone guarantee that all apps will be upgraded correctly, and in unison ?
     • Remember also that data is a corporate, not a departmental asset. The corporation implements standards, so that they can avoid the time wasted by departmental administrators having silly arguments that were resolved 30 years ago, outside their department.

     Again, people posting what they think, as if they were the first person to go through this thought process, without any qualifications (which would mean they are aware of standards) or understanding or actual experience (which would change their beliefs real fast).

     Therefore: all business rules that pertain to data, in any way shape or form, should be placed with the data, in the IEC/ISO/ANSI Standard catalogue, in the database.

     Any business logic (app and usage dependent) can happily be placed anywhere the business decides. That way, the integrity of the corporate asset is preserved, and the damage is limited to the department that entertains magical thinking.

     I have seen both approaches at my current company and would definitely lean towards the first (calculating totals based on stock transactions).

     If you are only storing a total quantity in a field somewhere, you have no idea how you arrived at that number. There is no transactional history and you can end up with problems.

     The last system I wrote tracks stock by storing each transaction as a record with a positive or negative quantity. I have found it works very well.

     It depends, inventory systems are about far more than just counting items. For example, for accounting purposes, you might need to know accounting value of inventory based on FIFO (First-in-First-out) model. That can't be calculated by simple "totaling inventory received - total of inventory sold" formula. But their model might calculate this easily, because they modify accounting value as they go. I don't want to go into details because this is not programming issue but if they swear by it, maybe you didn't understand fully all their requirements they have to accommodate.

     Sounds like you need a status on the inventory table. For example, a record for an arbitrary tool can have a status field that is a foreign key in the "Statuses" table. The Statuses table could look like this:

     ID Description-----------------------1 Available2 In Use3 Broken

     ... etc.

     Your Inventory table could look like this:

     id status_id description-------------------------------------1 2 Hammer2 1 Hammer3 3 Hammer4 1 Saw5 3 Saw

     Then, when you calculate inventory, only show records where a tool has a status of "1" for Available. You could also run queries for management to show how many tools are "Broken". Plan for eventually deleting these records once the broken tools are accounted for properly, or, keep them for historical data purposes.

     At all costs, avoid creating separate tables for the disposition of any entity in the database. Use a "flag" field (i.e. status_id), so you can add new statuses to an application without needed to infinitely add new tables.

     I would update the item/product table to include a current_stock_level column. There would be a check constraint against this column to ensure that it is always >= 0.

     Having done this, your transaction to insert the order will need to decrement the stock level according to the quantity ordered as well. If someone has ordered more stock than is available, they will violate the constraint and receive an error.

     If you want to verify the stock level against the transactions, then keep the initial_stock_level column. You can then run a daily/weekly/whenever process to verify that this minus the sum of orders equals the current stock level. If these are different then you can either update the current level or raise an alert to someone to investigate this.

     Once this verification process (successfully) completes, update the initial_stock_level to the current level. Also include a stock_level_verified date to indicate the last time this was run.

     Note if your system has constant use 24x7, you may run into concurrency issues running this checking process as people can decrement the stock while you're doing this. You'll need to think about how you're going to manage this.
